Club Sports Budget Request Form

Thomas Jefferson University Club Sports Policy

2025–2026 Academic Year

1.Budget Request Deadline

All Club Sports must submit a complete and finalized budget request by September 30, 2025. Late submissions will not be considered for funding for the 2025–2026 school year.
A complete budget request must include:
  • A detailed list of planned expenses for the entire academic year.
  • A justification statement for each item or service, explaining its direct benefit to the club.
  • Any anticipated fundraising, sponsorships, or other outside revenue sources. Partial or incomplete submissions will not be reviewed.
All questions about the process must be directed to the Athletic Department no later than September 23, 2025, to ensure proper review and response.
Failure to submit by the deadline will result in no funding allocation, and the club will be responsible for covering expenses through independent means.
The Athletic Department reserves the right to request additional documentation or clarification before approval.
 

2.Budget Approval & Use of Funds

Approved budgets are final and binding for the 2025–2026 academic year.
All funds awarded must be spent through the Athletic Department purchasing process. Reimbursements will not be accepted under any circumstances.
All purchases must be pre-approved, and no club may use funds for:
  • Personal expenses.
  • Alcohol, tobacco, or other prohibited substances.
  • Non-sport-related activities or items.
Funds cannot be carried over to the next fiscal year. Any unused funds will be returned to the Athletic Department at the end of the academic year.
Misuse of funds may result in loss of funding privileges for the current or future years.
 

3.Facility Use & Gym Reservations

Gym and facility reservations for Club Sports are not guaranteed and may be changed at any time.
Priority will always be given to Varsity Sports, Athletic Department events, and official university functions.
The Athletic Department will make reasonable efforts to notify clubs of schedule changes in advance, but last-minute adjustments may occur.
Clubs must follow all facility policies, including:

Repeated failure to comply with facility rules may result in revoked reservation privileges.
 

4.Finality of Budget Allocations

Once a budget is approved, it cannot be modified for the remainder of the academic year.
Additional funding requests will not be considered, regardless of changes in club needs or expenses.
Clubs are strongly encouraged to plan strategically, including potential increases in costs, travel expenses, and equipment replacement needs.
Emergency situations may be reviewed on a case-by-case basis, but additional funding is not guaranteed.
 

5.Compliance

Clubs are expected to follow all policies outlined in this document, as well as university and Athletic Department guide- lines.
Non-compliance may result in:
  • Loss of funding.
  • Suspension or cancellation of scheduled facility use.
  • Possible removal from the Club Sports program.
Clubs are encouraged to maintain clear communication with the Athletic Department to avoid misunderstandings and ensure program success.
